This notice explains what personal information I collect, why I use it, and how I keep it safe.

Who I am

This website is operated by Thalia Dang, a psychotherapist providing sessions in Chiswick, London and online.

For the purposes of UK data protection law, Thalia Dang is responsible for the personal information collected and used in connection with this website and counselling practice.

Information I collect

I may collect personal information that you choose to provide when you contact me or enquire about counselling.  This may include your name, email address, telephone number and information you choose to share about yourself or what you are looking for support with.

If you become a client, I may also collect information needed to provide counselling safely and appropriately.  This may include information about your health and wellbeing, which is treated as special category personal data under UK data protection law.

Where information comes from

Most information is provided directly by you when you contact me, complete the contact form, arrange sessions or take part in counselling.

In some circumstances, information may be provided by someone acting on your behalf, such as a parent or carer, where this is appropriate.

How and why I use your information

I use your personal information only where I have a lawful basis to do so.

If you contact me to enquire about counselling, I may use your information where this is necessary to take steps at your request before entering into an agreement.

If you become a client, I use your personal information where this is necessary to provide and manage the counselling services we have agreed.

This includes using information to:

  • respond to enquiries;
  • arrange and manage sessions;
  • provide counselling safely and appropriately;
  • communicate with you about appointments and sessions;
  • manage payments and administration;
  • maintain appropriate professional records;
  • meet relevant legal, professional and insurance requirements; and
  • manage and improve my practice and website.

After counselling has ended, I may retain relevant records for seven years.  I rely on legitimate interests for this retention, including maintaining appropriate professional records and protecting against or responding to potential legal claims.

Where I am required by law to process personal information, I will rely on the applicable legal obligation as my lawful basis.

Do I have to provide information?

You do not have to provide personal information to me.  However, some information is necessary for me to respond to an enquiry, arrange sessions and provide counselling safely and appropriately.

Special category information

Information about your health and wellbeing is special category personal data and requires additional protection under UK data protection law.

Where I need to process health or wellbeing information as part of providing counselling, I do so only where an appropriate condition under Article 9 of the UK GDPR applies, alongside my lawful basis under Article 6.

Where the requirements are met, this may include the health and social care condition under Article 9(2)(h), together with the relevant safeguards under UK law.  I also have a duty to keep information shared with me in the course of counselling confidential, subject to the limited circumstances described in this notice.

I aim to collect and retain only the information that is relevant and necessary for providing appropriate counselling and meeting my professional responsibilities.

Information submitted through the contact form

If you use the contact form on this website, the information you provide will be used to respond to your enquiry. The form is intended for initial contact rather than detailed personal or clinical information.

Please avoid including detailed or highly sensitive information in your initial message. A brief description of what you are looking for is enough to begin the conversation.

Counselling records

Session notes are currently created and stored electronically using Microsoft Word on a password-protected personal laptop.

Where paper notes or records are used, relevant information is transferred to the appropriate digital record and the paper copy is securely shredded.

Email

Professional email correspondence is handled through Microsoft 365 using thalia@rtbtherapy.co.uk.

Email may contain personal information, so please consider what information you choose to include in messages.

Who I share information with

I do not sell or rent your personal information.

I use a small number of service providers to operate my practice and website.  These currently include Microsoft 365 for professional email, Hostinger for website hosting and Google Analytics for website analytics.

These providers may process information on my behalf in accordance with their own terms, privacy arrangements and applicable data protection requirements.

I may also disclose information where I am legally required to do so or where there is an overriding safeguarding or professional obligation.

International transfers

Some of the service providers I use may process personal information outside the UK. Where personal information is transferred internationally, I will ensure that appropriate safeguards are in place as required by UK data protection law.

Keeping your information secure

I take appropriate technical and organisational measures to protect personal information from loss, misuse, unauthorised access or disclosure.

Electronic counselling records are currently stored on a password-protected personal laptop.  Paper records, where used, are securely shredded once the relevant information has been transferred to the digital record.

How long I keep information

Counselling records are retained for seven years following the end of the therapeutic relationship, after which they are securely deleted or destroyed.

Other personal information may be kept for a different period where this is necessary to meet legal, professional, insurance or accounting requirements.

Website analytics

This website uses Google Analytics to understand how visitors use the site and to help improve its content and performance.

Google Analytics may collect information such as pages visited, approximate location, device and browser information and how visitors interact with the website.  Google Analytics does not log or store individual IP addresses from UK users.

Analytics will only be used in accordance with the site’s cookie and consent settings.

Automated decision-making

I do not use your personal information for automated decision-making or profiling that has a legal or similarly significant effect on you.

Your rights

Depending on the circumstances, you have rights under UK data protection law to:

  • ask for a copy of the personal information I hold about you;
  • ask for inaccurate information to be corrected;
  • ask for information to be deleted where there is no longer a lawful reason for me to keep it;
  • ask me to restrict how I use your information in certain circumstances;
  • object to certain uses of your information; and
  • withdraw consent where I am relying on consent as the lawful basis for processing.

Some of these rights are subject to legal exceptions.

If you have concerns about how I have handled your personal information, please contact me first so that I have the opportunity to address your concerns.

This website uses cookies and similar technologies that are necessary for the website to function.   Google Analytics may also use analytics cookies or similar technologies where enabled.

Non-essential analytics technologies will only be used in accordance with the site’s cookie consent settings.  You can change your preferences through the site’s cookie controls.

I may update this privacy notice from time to time to reflect changes to my practice, this website or relevant legal requirements.  The latest version will always be available on this page.
